Recording System Prompts
The Samsung SVMI-E Series voicemail system uses prompt
phrases. Each prompt is a phrase or paragraph, and different prompts are
seamed together to make complete recordings. The configuration of which
prompts are played in each mode requires a technician to make programming
changes to the system. The recording of the actual prompts is simple and can
be performed by the end user.
Typically, system prompts are seamed together as follows,
but this can change from site to site, depending upon the application:
Day Mode: Prompts 1001, 1005, 1006, 1010,
1007, and 1008 are played in this order.
Night Mode: Prompts 1001, 1002,
1006, 1010, 1007, and 1009 are played in this order.
Holiday Mode: Prompts 1001, 1003,
1006, 1010, 1007 and 1009 are played in this order.
Weather/Special Mode Prompts 1001,
1004, 1006, 1010, 1007 and 1009 are played in this order.
The following are instructions for recording
system prompts:
1. Access main company greeting:
a. From within the office: press your
voicemail button or dial the voicemail system access code (typically
529). When the voicemail system answers and prompts to enter your
password, simply press *. This should return you to the main company
greeting.

b. From outside the office: dial the
main company telephone number and wait for the voicemailsystem to
answer. If answered by a person, ask them to transfer you to extension
529.
2. Log into administrator’s mailbox 0000: Press # 0 0 0
0.

3. Enter administrator’s mailbox password (default is
0000, yours may be changed.):
0000
4. Select option 1 to edit system prompts.:

5. Enter the prompt number you wish to hear or
re-record. Typical prompt numbers used for maincompany greetings and
submenus are 1001 through 1012 and above. Prompts in other numbered
ranges are system prompts and should not be changed:
NNNN (Example: 1001)
6. Press 1 to hear the prompt you’ve selected. Press 3
to erase and re-record it. After recording, press 2 and follow the
instructions given. When finished, press # to accept the changes. To
exit without making changes, press *.
The following is a list of typical prompts and
their uses:
PROMPT 1001 Main company salutation,
such as “Thank you for calling XYZ company.” This prompt is played
first in all modes: Day, Night, Holiday, Weather.
PROMPT 1002 Closed message, such as
“Our office is now closed. Normal office hours are Monday through Friday
from 8am to 5pm.” This prompt is typically played second in the night
mode, but not in holiday or weather modes.
PROMPT 1003 Holiday closed message,
such as “Our office is now closed in observance of the holiday. Normal
office hours are Monday through Friday from 8am to 5pm.” This prompt is
typically played second in the holiday mode only.
PROMPT 1004 Weather closed message,
such as “Our office is now closed for a special staff function. Normal
office hours are Monday through Friday from 8am to 5pm.” This prompt is
typically played sescond in the weather mode only.
PROMPT 1005 Operator unavailable,
such as “Our operator is currently assisting other callers.” This
prompt is sometimes played second during the day mode.
PROMPT 1006 Enter extension, such as
“If you know your party’s extension, dial it now.” This prompt is
typically played during all modes.
PROMPT 1007 Single digit menu, such
as “For sales, press 1. For service, press 2.” This prompt is
typically played during all modes.
PROMPT 1008 Hold for operator, such
as “Or, to speak with the operator, press zero or simply remain on the
line.” This prompt is typically played last during the day mode.
PROMPT 1009 General message, such as
“Or, to leave a general message, press zero or simply remain on the
line.” This prompt is typically played last during night, holiday, and
weather modes.
PROMPT 1010 Directory, such as “For
a directory of extensions, press 8.” This prompt is typically played
immediately after the Enter Extension prompt, #1006.
PROMPT 1011 General info message,
such as “Our address is …, our location is…, our fax number is …”
This prompt is played if an option exists off the main menu to hear general
information about the company.
PROMPTS 1012 and up These prompts
are for special applications are will vary widely from site to site.
